Safeguarding Policy

Our Safeguarding Policy is as follows:

Grange Judo Club is committed to keeping children and young adults, and others in a position of vulnerability safe at our sessions from any kind of neglect or abuse.

  1. We as a Club have the following policy in place.

    1. All our staff are aware of their responsibility with regards to ensuring all who attend are safe from any kind of harm

    2. That any person who is not involved in running or attending our sessions or with a person attending our sessions is challenged on their reason for being present at the session (Please Note: the venue our sessions are held in is a shared facility and their may be other events or classes operating in a separate section of the hall).

    3. All staff, attendees and visitors are aware of our policies and rules regarding safeguarding and who to speak to with any concerns

  3. Our policy is to record any possible breaches of our safeguarding policy and to ensure that action is taken to rectify them, our main safeguarding rules are as follows:

    1. No one member of staff will be alone with any person under 18 at any time, this includes during sessions, where there will always be one male and one female member of our staff on duty.

    2. No one member of staff is to leave the hall with any child, young person or vulnerable person for any reason. If any of the above need to go to the toilet etc. then we will either ask their parent/guardian/carer to accompany them or where this is not possible and the person is under 11, we will pause the session and have 2 members of staff escort them to the location of the toilet and wait outside the main door in the hallway until the person returns and accompany them back to the Hall.

    3. No one member of staff will assist any person with their belt, where possible, we will ask a parent/guardian/carer to assist the person if present or we will show them how it is done in full view of another member of staff and in plain view either using a spare belt to demonstrate (staff member to demonstrate on themselves using either their own belt or a spare belt) and then ask the person to copy them.

    4. We will NOT let a child under the age of 11 leave a session unaccompanied, if you cannot pick up your child, we will require the name of the person coming to collect them and a password to be agreed upon and given.

 

We will ask for the following information when any member joins and for any Child, Young Person or Vulnerable Adult, this information will not be used other than as explained below:

  1. Information Required

    1. Name

    2. Address

    3. Date of Birth (so we can place them in the appropriate pricing and learning group)

    4. A contact number which will be one of the following

      1. Where the attendee is under 10 – a parent’s phone number

      2. Where the attendee is 11 or above – either their own or a parent’s phone number

    5. An e-mail address – which can be either a parent or their own depending on age as above in contact number.

    6. Next of Kin or Emergency Contact details, which will be:

      1. Name

      2. Phone Number

      3. E-mail Address

      4. Home Address if different to the attendees

    7. We will ask for a Medical Form to be completed, so that if an emergency occurs, we can provide emergency responders with required information whilst we are waiting for your attendance or if you are unable to provide the information for any reason. The information we ask for is:

      1. Any Medical Conditions

      2. Any Allergies

      3. Any Medication used

      4. Any Disabilities or other conditions we need to be aware of

    8. The information provided will be used for the following reasons:

      1. General information e.g. name etc. will be used to administer the club, for fire safety when recording attendees and to contact attendees in the event of session cancellation or rescheduling via text or e-mail.

      2. Medical Information will only be used in an emergency and to assist us with session planning e.g. to ensure all who attend can learn fairly and equally and we can provide extra support if needed.

    9. We may sometimes take photos or record video at sessions; this will be used to show prospective members how sessions are operated and what the club offers. We will try to not use any images of children, young adults or vulnerable adults, however all persons attending will be asked to sign a consent form stating whether they agree to their images being used or decline consent. This can be updated at any time and we will always check with attendees when we do take photos or videos.

    10. We ask that all attendees also check with others before they take photos or videos and respect others wishes if they decline consent.

    11. Our website does not allow the downloading of photo or video content and any images used will be stored on a secure file on the administration computer.

    12. We have a Facebook, Instagram and Twitter account, we will always ask for consent before any images or videos are uploaded to these accounts.

    13. We would like to point out that even if consent is withdrawn after we post videos or photos onto our website or social media pages, we may not be able to remove the images or videos, however we will do our best to remove them.

 

We welcome all who have concerns to report them to us, they can be reported in the first instance to a member of staff at our sessions or directly via our designated safeguarding e-mail address which is safeguarding@grangejudo.co.uk

All reports of any possible safeguarding issue or if our staff have any safeguarding concerns will be dealt with immediately as follows:

  1. It will be recorded on our session log and then it will be investigated by our club committee as follows:

    1. If it relates to a member of staff, then details will be taken. The member of staff will be asked to account for their actions and advised on their conduct if it is a less serious matter or if of a more serious matter, they will be suspended from their duties and a report will be made as required to Wiltshire Police and/or Swindon Borough Council Social Services as deemed necessary.

    2. If it relates to another visitor or attendee, then concerns will be noted and where necessary reported to Wiltshire Police and/or Swindon Borough Council Social Services. They will be asked to either:

      1. Remain with us until the police attends if the matter requires immediate police attention or

      2. Will be asked to leave the session and be barred from the club; the matter will be referred to the police or social services as deemed appropriate.

    3. We will liaise with any police or social services investigation and will share safeguarding concerns with these if needed, including any data held or notes made.
