GDPR Policy

At Grange Judo we will hold the following data regarding members:

  1. Name

  2. Address

  3. Date of Birth and Age

  4. Phone Number

  5. E-Mail Address

  6. Answers Given by Member on the Medical Questionnaire

These are held for the sole reason of providing sessions and to contact members regarding any changes or cancellation of sessions.

The data will be held on a secure encrypted and password protected database which only the Committee and Instructor will have access to.

The paper forms are kept in a locked file cabinet and only viewed by the Committee and Instructor.

The paper forms may be used in an emergency to provide details to the emergency services.

Members who require a receipt:

Grange Judo uses Square as a Payment Processor for Card, Gift Card, Contactless and Invoice Payments. We also use their SquareUp point of sale software to record transactions regardless of payment method. All members can request a receipt for their payment. Receipts are sent by e-mail or text from the Square system and therefore the following details will be used by the club and Square:

  1. Name

  2. Phone Number or E-Mail Address

  3. If paying by Credit or Debit Card or your Mobile Device (Apple or Android Pay) in person your card details will be collected by a Square Chip & Pin device or by Contactless or Swipe for the processing of your payment.

  4. If you are paying over the phone then the Club and Square will also require your house number and post code.

Grange Judo use WhisQR for our Loyalty Card Programme, we do not share any data with WhisQR, however you can register your Loyalty Card with WhisQR and they will require your e-mail address and first name only. Your Loyalty Card if registered can be replaced if lost or damaged

Grange Judo use Wix for our website hosting and for some sales, our website counter records visitor numbers and may place cookies on your computer. We do not use this information for marketing, it is purely used to keep a track of visitor numbers.

Grange Judo use Airtable for our database and club management software, the information is stored electronically on an encrypted database. Airtable do not have access to any of your information.

Grange Judo will be using Survey Monkey for surveys and in the future Market Research. We will not pass any of your information onto Survey Monkey, but will send out the surveys via our own e-mail account. If you respond to the survey you may be asked for details by Survey Monkey

Grange Judo use Microsoft Outlook for our @outlook.com e-mail address & Google for our business listing on the internet and Google G Suite for our e-mail management (for @gmail.com & @grangejudo.co.uk e-mail addresses).

 

Grange Judo also use PayPal as a payment provider, PayPal may store your details if you setup an account with them in line with their own policies.

Grange Judo banks with Metro Bank who process bank transfer & cheque payments on our behalf, they will not hold any data about you other than for payment. We may also offer the use of a Monzo pay me link. In this case, the details held by Monzo will be used for payment only.

We do ask that you have photo ID so that we can comply with our duties under GDPR to prove you are the person the data belongs to.

We will provide this data to you in person at a session.

Once a member stops attending the club we will automatically remove all sensitive personal data from our systems and files, however due to the nature of the club we will hold basic data e.g. name and address and a record of any incidents or injuries sustained for a period of 5 years, this will be held on a separate secure data base.

GRANGE JUDO CLUB WILL NOT USE YOUR DATA FOR MARKETING OR SELL ON YOUR DATA TO ANY THIRD PARTY ORGANISATION. ALL DATA WILL BE KEPT IN THE UK.
